Escrow Notary Network
Secure Remote Online Notary Services
Effective Date: February 12, 2026
Escrow Notary Network (“we,” “our,” or “us”) operates an online directory that connects escrow officers, title companies, and attorneys with rigorously vetted, independent Remote Online Notaries. Every notary listed on our platform has a minimum of five years of Remote Online Notarization experience and a demonstrated background handling real estate documents. Our role is to maintain this high-credentialed directory so that clients can identify and engage a trusted professional with confidence.
Escrow Notary Network does not collect, process, or store transaction documents, signer information, or payment data. All transaction-related information is handled directly by the notary you select, and all payments are made directly to that notary. This Privacy Policy applies only to information collected through https://escrownotarynetwork.com in connection with use of our directory platform.
1. Information We Collect
Because Escrow Notary Network functions as a notary directory and vetting service — not a transaction processor — we collect only the limited information necessary to operate the platform.
From Clients (Escrow Officers, Title Companies, Attorneys)
When you contact us or use our platform to locate a notary, we may collect:
• Name, email address, and phone number
• Company name and professional role
• General inquiry or service request details
From Notaries Listed on Our Platform
To vet and list notaries on our directory, we collect and verify:
• Name, contact information, and state commission details
• Credentials, certifications, and professional background
• Verified RON experience (minimum 5 years required for listing)
• Demonstrated experience handling real estate documents
• Profile information displayed publicly on the platform
• Service availability and geographic coverage
Technical Information
We automatically collect limited technical data when you use our website:
• IP address
• Browser and device information
• Website usage data (via tools such as Google Analytics)
We do not collect transaction documents, signer identity information, notarization records, or payment information. That information is handled exclusively by the notary conducting your signing.
2. How We Use Your Information
We use the limited information we collect solely to:
• Operate and maintain the notary directory platform
• Screen, vet, and list qualified independent notaries
• Respond to inquiries from clients seeking notary services
• Display notary profiles and credentials to prospective clients
• Communicate platform-related updates to listed notaries
• Maintain compliance with applicable laws
We do not use your information for unrelated marketing and we do not sell your data.
3. How Our Platform Works
Escrow Notary Network is a vetted notary directory built to a high professional standard. To be listed on our platform, every notary must have a minimum of five years of Remote Online Notarization experience and proven experience handling real estate documents. This requirement ensures that clients — escrow officers, title companies, and attorneys — can select from a directory of seasoned professionals rather than generalist or inexperienced notaries.
Once a client selects a notary, all aspects of the signing engagement — including document handling, identity verification, RON session management, and payment — take place directly between the client and the notary. Escrow Notary Network is not a party to that transaction and does not receive, process, or store any information exchanged during it.
All notaries listed on our platform are independent contractors operating under the laws of their commissioning state. They are solely responsible for their own conduct, data handling practices, and compliance during signings. Escrow Notary Network’s vetting process establishes rigorous eligibility standards for listing but does not make Escrow Notary Network liable for the independent actions of listed notaries.
4. Payments
Escrow Notary Network does not process, collect, or receive payments of any kind. All fees for notary services are paid directly by the client to the notary they select. Any billing disputes or payment matters are between the client and the notary exclusively.
5. Information Sharing
We do not sell or rent personal information. The limited information we collect may be shared only as necessary with:
• Technology service providers that support operation of our website and platform
• Government agencies when required by law
We do not share client inquiry information with notaries beyond what a client voluntarily initiates by selecting and contacting a notary through the platform.
6. Remote Online Notarization (RON) — Notary Responsibility
RON sessions are conducted entirely by the independent notary you select. Each notary is responsible for ensuring their sessions comply with applicable state law and security requirements, including:
• Identity verification (credential analysis + knowledge-based authentication)
• Audio-video recording of the session (as required by law)
• Tamper-evident digital documents
• Secure storage of recordings and notarial records per state requirements
Questions about how a specific notary handles RON session data should be directed to that notary.
7. Data Retention
We retain the limited platform information we collect only as long as necessary for the purposes described in this policy:
• Notary profile and credential information is retained for the duration of their active listing and for a reasonable period thereafter.
• Client inquiry and contact information is retained for a reasonable period to support follow-up and platform operations.
• Technical and usage data is retained in accordance with our analytics provider’s standard retention settings.
We do not retain transaction records, notarization documents, or RON recordings — those are the responsibility of the individual notary.
8. Data Security
We implement reasonable security measures to protect the limited information we collect, including TLS-encrypted communications and access controls. While no system is completely immune to risk, we operate with a security-first approach appropriate to our role as a directory platform.
9. Cookies & Tracking
Our website may use cookies and similar technologies to improve platform performance and analyze traffic. You can adjust your browser settings to disable cookies if preferred.
10. Your Privacy Rights
Depending on your jurisdiction, you may have rights to access or request deletion of your personal information. This includes rights under:
• California Consumer Privacy Act (CCPA) — California residents
• Other applicable U.S. state privacy laws
• General Data Protection Regulation (GDPR) — where EU-based parties are involved
