How Remote Online Notarization Works: A Guide for Title, Escrow, Attorneys and Realtors

    What remote online notarization is

Remote online notarization (RON) lets your signers complete a notarization with a commissioned notary over a secure, live audio-video connection instead of meeting in person. The documents, signatures and notary seal are all electronic, and every step is verified, recorded and logged.

For title companies, escrow officers, attorneys and real estate agents, that means fewer scheduling headaches, no hunting for a mobile notary in a distant town, and a closing package that comes back complete, with proof of exactly how it was signed. Here is how it works, and why it is one of the most secure ways to close today.

    Multiple layers of identity verification

A RON session verifies each signer through several independent checks before the notary ever applies a seal. A fraudster would have to defeat every layer at once, which is far harder than presenting a fake ID across a kitchen table.

    1. Credential analysis. The signer photographs the front and back of a government-issued photo ID. The platform’s software inspects it for security features, formatting, data consistency and signs of tampering, and confirms the ID is valid and unexpired.
    2. Knowledge-based authentication (KBA). The signer answers a short set of multiple-choice questions drawn from public and credit-history records, such as past addresses, vehicles or loans. The questions are timed, and a signer who fails two attempts is locked out for 24 hours.
    3. Biometrics, in states that allow it. Some states permit biometric checks, such as a facial match comparing the signer’s live face to the photo on their ID. Where allowed, this adds one more layer that is very hard to fake.
    4. The notary’s own review. Technology does not replace the notary. The notary sees the signer live on camera, compares them to the ID, confirms they understand what they are signing, and watches for any sign of coercion or confusion. If something does not feel right, the notary can stop the session.

Only when every required check passes does the signing move forward.

Every session is recorded, start to finish

The entire RON session is captured on audio and video, from identity verification through the final signature and notary seal. That recording is retained as required by the notary’s commissioning state.

For a title or escrow company, this is a built-in safeguard a paper closing cannot offer. If a signer later claims they did not sign, did not understand the documents, or were pressured, there is a complete record of who was present, what was said and what was signed.

    Multiple signers, one session

RON lets every signer on a transaction join the same session with one notary, even when they are in different cities, states or time zones. Each signer is identity-verified individually, and everyone signs in a single sitting.

That eliminates the need to book separate notaries for each signer, wait for split packages to come back, and piece the file together afterward. One session, one notary, one complete package.

Signers can be anywhere, even overseas

Your signer does not need to be near the property, or even in the country. A buyer on military deployment, a seller living abroad, or an heir overseas can meet the online notary from wherever they are, as long as they have a computer or device with a camera, microphone and internet connection.

The one firm rule is on the notary’s side: the notary must be physically located in the state that issued their commission at the time of the notarization. A Tennessee RON notary, for example, performs the session from inside Tennessee, no matter where the signer is sitting.

Closing in California? We can help

California notaries are not yet allowed to perform remote online notarizations. However, California signers can use a RON notary commissioned in a state that does authorize it.

We handle many California closings online. Your California signers meet one of our notaries from home, complete the same layered identity verification, and the package comes back to you just like any other RON closing.

    Witnesses provided when required

Some states require one or two witnesses on real estate documents such as deeds and mortgages. If your documents come from one of those states, we can provide the online witnesses for you. They join the same live session, watch the signing, and sign electronically, so the package meets the witness requirement without you having to find anyone.

Attorneys, title officers and realtors are welcome to join

A notary is an impartial witness and is not legally permitted to explain documents, give legal advice or answer questions about loan terms. When a signer has those questions at a paper closing, the signing often stalls while someone tracks down the right person.

With RON, the attorney, title or escrow officer, or real estate agent can simply join the session alongside the client. If a question comes up, the right professional answers it on the spot, and the signing keeps moving.

    Your completed package, delivered securely

When the signing is finished, the title company receives the completed, notarized package along with the audit trail, sent back through a secure email portal. No overnight shipping, no lost FedEx envelopes, and no waiting days for originals.

The audit trail documents the transaction step by step, including the identity verification results and the time each action was taken. Combined with the session recording, it gives you a clear, defensible record of the entire closing.

    Ready for recording

We can prep your documents so they are e-recordable the moment you receive them, with no reformatting needed on your end.

If the county requires paper recording, papering out an electronically notarized document takes one extra step. We can help you with that step too, so your recordable documents are accepted without delays.

A RON closing, step by step

    1. You send the documents. The title or escrow company emails the documents to the notary or uploads them to the notary’s secure portal, along with each signer’s name and contact information.
    2. Signers get a secure link. Each signer receives an invitation to join at the scheduled time from their own device. We work on trusted RON platforms including NotaryCam, Proof, Blue Notary, and SIGNiX.
    3. Identity is verified. Each signer completes credential analysis, KBA, and, where allowed, biometric checks.
    4. The live session begins. The notary, all signers, any required witnesses, and any invited professionals meet on video.
    5. Documents are signed and notarized. Signers sign electronically while the notary watches, then the notary applies an electronic signature and seal.
    6. The package comes back to you. The completed documents and audit trail are returned through a secure email portal, with the session recording retained on file.

  • Experienced Remote Online Notaries for Title Companies, Escrow Officers & Closing Attorneys

When you send a real estate file out for remote online notarization (RON), you shouldn’t have to wonder who is going to handle it.

Escrow Notary Network is not a traditional signing service that sends your file to the first notary willing to accept a low fee. We are a small, invitation-based network of experienced Remote Online Notaries whose primary focus is real estate transactions.

Your Closing Is Not Someone’s Practice File

Real estate closings take more than knowing where the signature and notarial certificate go. Our notaries have worked in real estate for years, and most were experienced traditional notaries and signing agents in their states long before remote online notarization existed.

Our members currently hold commissions in [Tennessee, Texas, Virginia] and work on [Proof (formerly Notarize), NotaryCam, SIGNiX, and others]. We also offer signings in [English, Spanish and Portuguese].

    We regularly handle:

    • Purchase and refinance closings
    • Seller packages
    • Commercial transactions
    • LLC, corporate and trust borrowers and sellers
    • Investor transactions
    • Split signings and double closings
    • Multi-party transactions
    • Signers located in different states, or outside the U.S. where permitted

Your transaction should not be the file someone uses to learn how RON works.

We Understand the Closing, Not Just the Notarization

There’s a big difference between a notary who can operate a RON platform and a notary who understands a real estate transaction.

An experienced closing notary recognizes when something doesn’t look right. They know when a document needs clarification, when an acknowledgment or jurat must be corrected to comply with state law, and when to stop and call title or escrow instead of guessing.

Our job isn’t just to collect signatures. It’s to help you get the file completed professionally, accurately and compliantly.

    Who We Work With

    Escrow Notary Network serves:

    • Title companies and title agents
    • Escrow officers
    • Closing attorneys
    • Commercial and private lenders
    • Real estate investors and agents

Whether it’s a straightforward seller package or a complex entity closing, you should be able to send the file to someone who understands what they’re looking at.

Where RON Helps Most in Real Estate

Double closings: Often used by investors and wholesalers completing two back-to-back transactions on the same property — first buying from the seller, then selling to the end buyer. RON can help streamline the signing of both closing packages in one coordinated session.

Split signings: Buyers, sellers, spouses, members or managers can sign from separate locations without coordinating multiple mobile closings.

Entity borrowers and sellers: LLCs, corporations and trusts often mean multiple signers in multiple places, plus authority documents. Experienced real estate notaries know what to look for.

Commercial transactions: Commercial packages differ substantially from residential closings, and experience matters.

Out-of-state signers: A signer can be hundreds or thousands of miles from the property and still complete eligible documents remotely.

    Plan Ahead for Winter Closings

Snow, ice, travel delays and holiday schedules can turn a routine signing into a scramble. Fall is the right time to set up a relationship with an experienced Remote Online Notary, so that when a signer can’t travel or your mobile closer can’t reach them, you already know who to call.

Why We Keep the Network Small

We’re not building a database of thousands of unknown notaries. Every Escrow Notary Network member is a vetted professional with substantial RON and real estate experience. When your client meets one of our notaries, that notary represents your company too.

  • Why Experienced Remote Online Notaries Matter for Real Estate Closings

The Notary You Assign Can Make All the Difference at the Closing Table

Your documents are only as good as the person handling them.

Title companies, escrow officers, lenders, and attorneys spend countless hours preparing for a successful closing. The title work is complete, the documents are prepared, and everyone is ready for the final step.

Getting the documents signed, notarized, and returned correctly.

That final step depends on having the right notary.

A missed signature. An incomplete notarial certificate. A signer struggling with technology during an online closing. A document delayed because it was not completed correctly.

Small mistakes can create big problems.

Escrow Notary Network provides experienced Remote Online Notaries (RON) for real estate transactions, helping title companies and escrow teams complete secure online closings with confidence.

We also provide professional mobile real estate signing services in select service areas, including Franklin, Tennessee, Knoxville, Tennessee, and Crosby, Texas.

Remote Online Notarization Requires More Than Knowing How to Click a Button

RON technology has changed real estate closings, but technology alone does not create a successful signing.

The notary managing the session matters.

A successful online closing requires someone who understands:

    • The documents
    • The technology
    • The signer experience
    • The title company’s expectations

An experienced Remote Online Notary knows how to keep the transaction moving from start to finish.

    Our network has experience handling:

    • Seller packages
    • Purchase transactions
    • Refinances
    • Deeds and recordable documents
    • Powers of Attorney
    • Split signings with signers in multiple locations
    • Signers located across the country or overseas
    • Attorney and title company participation during sessions

Remote Online Notarization allows transactions to move forward without requiring everyone to be in the same location.

The right notary makes that process simple.

Five Plus Years of RON Experience Makes a Difference

Remote Online Notarization has a learning curve.

Every platform is different. Every signer is different. Every transaction is different.

Our notaries have spent years working with RON technology and understand how to prevent small issues from becoming closing delays.

Experienced online notaries know how to:

    • Navigate multiple RON platforms
    • Properly prepare and tag documents
    • Guide signers through identity verification
    • Explain credential analysis and KBA requirements
    • Troubleshoot common audio and video issues
    • Keep nervous or inexperienced signers comfortable
    • Complete proper online notarial certificates and records

A signer who has never completed an online closing before should still feel confident during the appointment.

    That comes from experience.

We Know Real Estate Documents Before the Session Begins

Real estate closing documents require attention to detail.

Experienced real estate notaries do not enter a signing session hoping everything is correct.

    Preparation begins before the appointment.

Documents are reviewed and prepared so the signer has a smooth experience and the closing team receives a completed package.

Our notaries understand the importance of:

    • Required signatures
    • Initials and dates
    • Proper document completion
    • Notarial certificates
    • Acknowledgments and jurats
    • Recordable documents

A missed signature or incomplete notarization can create unnecessary delays.

    Our goal is simple:

Help title companies complete transactions efficiently by working with notaries who understand real estate.

Mobile Real Estate Signing Services in Select Areas

While Remote Online Notarization is our specialty, Escrow Notary Network also provides professional mobile real estate signing services in select locations.
